What types of internal file audits are agencies doing and how are you using functions in Procentive to make the process efficient? We used to have a staff look at each clinical file and review for timeliness and content. I am hoping there are systems in Procentive already to help with this or if we need to request something be created? Any ideas would be great!

Forms-Clinical

I have a few questions I am hoping can be answered in this group. Is there a way to copy a form template in Procentive and rename it to have all staff utilize? I know that I can copy a note that is already in a client's file, but I would want this to be a form that staff can choose. We are wanting to have a form for Tx Plan Development. Is Procentive the only one that can change forms etc...

Second we have multiple programs and would like the Tx Plan to flow to each program with one Tx plan instead of having let's say one tx plan for CTSS and another for MH. Is this a simple as adding the program to the Tx Plan form?

I'm wondering if any MN CTSS agencies are planning or wanting to create a note to specifically document time billed for treatment plan development? If so, we are interested in working together on this.

Form K100130 GAD-7 Anxiety-Allows clients to select 2 or more answers

Does anyone else use this Procentive form? Clients can select two or more answers for each question which creates an invalid score. To correct this programming error, Procentive is requiring us to create a custom form just for our agency. Before we did, I wanted to get feedback from other agencies as I imagine this is a correction that everyone would want, not just us.

Who scans directly into Procentive using a Networked Scanner?

Removing Private Templates

It took me awhile to get the hang of creating templates, and so mine are just littered with templates which I created but don't use anymore. Is it possible for me to remove or inactivate those so I don't need to sift through a bunch of them to find the one I need?

Hello all,

Procentive is functioning as it should be now, we slowed down for approximately 30 min starting at 2:16 this afternoon.  All information you entered was saving but not displaying what you had done immediately. You did not lose any data but rather it took a while to refresh and display on your screen. 


The why, for all the why people like myself, is that we had a very large query which significantly slowed down a mirror server (the reflection of what is saved to mirror and display the data back to you).  Once the query cleared the mirror server began to speed back up although it does not immediately happen which is why it took the 30 min.

Many repeated logouts

This was happening occasionally last week but today we have encountered multiple logouts just during the morning. This has been very disruptive to both the clinicians trying to do paperwork and to the admin staff trying to take care of all the behind the scenes work. It doesn't seem to matter which module we're in or what browser is in use.

 Is anyone else having similar issues and is there any news of a fix?

Couples/Family Services

I am looking for ideas on the best methods for documenting couples/family services.  We like to have each person complete an intake form and enter each separately into the system.  When scheduling appointments we would like to avoid non billable service lines popping up in the 1300 report, and avoid duplication in tracking.   The goal would also be to avoid having to duplicate documentation for each couple or family.  Any thing that had worked well for you guys?
