Thank you to those of you who were able to join us for the live Client Portal Demonstration and Q&A Webinar today.

We have listed some of the Questions and Answers below:


Q: Is the Client Portal an additional fee or is it included?

A:  Currently, the Client Portal is included and you can start setting it up today!



Q: Do the forms you send thru the documents area, have to already be built in your clinical charting area?

A: You do have options to use the "Miscellaneous Documents" to share forms with attachments. 

    You can also use Direct Messaging to send a message with an attachment for resources or homework.

Q: Is there a Client Portal app option or just a web link?

A:  Web Link

Q: I don't have Client Portal Manager on my list of modules

A:  Here is the link from our Knowledge Hub for the "How-To" setup the Client Portal in your database:

Q: Can you add the logo at a later time?

A:  You can adjust your Client Portal settings at any time - including the logo.

Q: Is there an option to send a mass email similar to sending statements?

A:  Great Idea! We're working on it!

Q:  Are Client Portal messages then automatically recorded in clinical charting?

A:  They are not. They are stored in the messaging module.

      You could always print the message thread and attached it to a clinical record.

Q: If we have intake paperwork that is not built into Procentive now, is there still a way to send that to a client in the client portal?

A:  You can send it and it will be HIPAA compliant communication but they cannot complete it online.  

      They must be Procentive form templates in order for the client to input information and/or electronically sign.

Q:  If we want to have forms built into Procentive, how long of a wait is it right now?

A:  2-3 Weeks is our longest wait right now. We are working to prioritize those Intake & Telehealth documents right now.

Q:  Are there templates allowing new clients to fill in the needed information for client demographics page?

A:  ACTUALLY, THERE IS! The Procentive Standard Intake form auto-fills the Client Module.

Telehealth services for PHP or IOP groups during COVID

We have CD & MH PHP and IOP programs at our agency how are all of you handling these programs amidst COVID?  Is there any way to provide telehealth services via zoom for a group setting for these programs and still be able to bill for it?  Our clients need for the service to continue but the only way we can continue is if there was a telehealth way.  Any thoughts or ideas of how maybe your agency is handling it, is greatly appreciated

Essential Workers for travel to work? COVID-19

Hi! Related to being a mental health worker in the midst of the COVID-19 situation...does anyone know if we can get letters from our Board to be considered essential to be able to travel to work to meet with our patients for mental health if they cannot be seen over telehealth?

Interactive complexity for telemedicine?

Good morning. 

As we bill telemedicine mental health and substance use disorder services for the foreseeable future, we have a question:


Because of the added complexity of the technology, is it appropriate to use the add-on code 90785?


Interactive complexity refers to factors that complicate the delivery of a mental health procedure, as defined:

You should use this CPT code when one or more of the following is present in a session:
  • When delivery of care is complicated due managing maladaptive communication among involved parties.
    • Examples of maladaptive communication include:
      • high anxiety
      • high reactivity
      • repeated questioning or disagreement
  • In a case where the implementation treatment plan is hindered due to caregiver emotions or behaviors.
  • When a discussion of a sentinel event and/or mandated report to a third party is initiated with the patient and any other participants.
    • Child Services/Elder Abuse Services etc.
  • When patients require equipment, devices, interpreters, or translators to work around impediments to diagnostic or therapeutic interaction with a patient.
    • Patients who require this include:
      • patients who are not fluent in the same language as the provider
      • patients who have not developed receptive language skills and are unable to understand typical language
      • patients who have lost receptive language skills and are unable to understand typical language.

Mass email to clients

Does Procentive have the option to send out mass emails to clients? I know there is a text message option but that only allows so many characters so im trying to find an option to send more information about what is going on in our office.

Billing for house calls

This question was just posed to me by one of my IC's. I have a private practice, not behavioral health clinic. 


Can we make house calls (treatment in the clients home) to patients and still bill 90834/90837 to insurance companies? Is there also a travel code ( I think that is only used for MA/behavioral health clinics and CTSS), but wondering if available for private practice?
